The Pitney Bowes Model M postage meter, commercially authorized on November 16, 1920, eliminated the need to affix adhesive stamps one by one and allowed the mail clerk to apply postage and a cancellation mark in a single mechanical step. The meter came with a sealed register that tracked postage consumed, providing the first systematic accountability for mailing costs. Within four decades Pitney Bowes owned and leased about 85 percent of the nation's 1.5 million postage meters, which had become fixtures in the mailrooms of corporate America. The mail clerk's daily work in this era centered on sorting incoming correspondence by department and recipient, operating the postage meter for outgoing mail, recording postage expenditures, and physically routing bundles through the building. No electronic tools assisted; address lookup, routing, and sorting all relied on the clerk's memorized knowledge of the organization's layout and personnel.

The US Postal Service introduced the Zone Improvement Plan (ZIP) code on July 1, 1963, dividing the country into coded delivery areas. For the corporate mail clerk, the ZIP code added an addressing discipline: outgoing mail now required a correct five-digit code, and the clerk became the person responsible for ensuring that bulk and routine outgoing correspondence carried the right codes before leaving the building. The same decade brought the Xerox 914 photocopier (1959) into widespread office use, which dramatically multiplied the volume of internal documents, memos, and correspondence that organizations needed to route internally. Pitney Bowes expanded its mailroom product line beyond the meter into inserting machines and automatic mail sorters: the company launched automatic mail sorters in 1957 and mail inserters in 1961, equipment that could stuff, seal, and sort large outgoing batches mechanically. A mail clerk operating a folder-inserter in 1968 could process hundreds of pieces per hour that would have required an equivalent person-hour of manual folding and stuffing a decade earlier.

The ZIP code and photocopier together enlarged the mail clerk's scope without substantially reducing headcount; the folding and inserting machines absorbed some of the volume increase mechanically.

The USPS accelerated its own mechanization program from the late 1960s onward, deploying optical character readers (OCRs) that could read typed addresses and sort letters to 277 destination pockets at 24,000 pieces per hour. By the end of 1984, 252 OCRs were installed across 118 major mail processing centers. For the corporate mail clerk, the effect was indirect: the Postal Service's automation rewarded correctly formatted, cleanly addressed outgoing mail and penalized handwritten or nonstandard envelopes with slower processing. Mail clerks increasingly became quality-control checkpoints, verifying address formats and ensuring compliance with USPS preparation standards to qualify for bulk-mail discounts. Pitney Bowes continued modernizing the meter platform: the company launched Paragon in 1992 (automated postage calculation based on piece size and weight) and D3 software in 1998 (multi-channel message management across mail, fax, and email). The clerk's role in manual postage accounting diminished as these software layers handled more of the calculation and tracking work.
Effect on the workPitney Bowes software products from the 1990s reduced the clerical work of postage calculation and reconciliation that had been a routine mail-clerk task since the 1920s. Sorting accuracy requirements from USPS automation also meant clerks spent more time address-verifying and less time on route-learning.

Email had existed in niche corporate use since the early 1990s, but its mass adoption in the period 1998 to 2005 directly substituted for the physical correspondence that had sustained the mail clerk's workload for 80 years. US First-Class Mail volume peaked at 103.5 billion pieces in fiscal year 2000 and then began a decline that proved sustained and structural rather than cyclical: volume had fallen to 77.6 billion pieces by 2010 and to 52.6 billion by 2020, a 49 percent reduction from peak in two decades. The effect on the corporate mailroom was proportionally direct: fewer letters arriving meant fewer letters to sort and route; fewer letters leaving meant fewer outgoing batches to meter and prepare. Electronic billing, electronic statement delivery, and e-signature workflows each eliminated categories of mail that had previously required physical handling. Employment of SOC 43-9051 workers fell from approximately 167,000 in 2000 to roughly 100,000 by 2010 and continued declining.
Effect on the workEmail and electronic diversion caused the most significant employment contraction this occupation has experienced in its history. The approximately 60 percent employment decline from the early-2000s peak to 2024 is substantially attributable to this era's restructuring of organizational communication away from physical mail.

As letter volume collapsed, two countervailing forces partially sustained the mail clerk role. First, parcel volume from e-commerce grew sharply: online retail generated inbound deliveries to corporate offices, campuses, hospitals, and apartment buildings that needed to be received, logged, notified, and routed to recipients. The mail clerk evolved into a parcel-receipt specialist in many settings, operating package tracking software that sent automated pickup notifications. Second, digital mailroom platforms from Ricoh, Xerox, and specialist providers emerged that allowed mail centers to scan incoming correspondence on arrival and route digital images electronically to remote or hybrid workers. The clerk operating a high-speed scanner and document management console in 2025 has more in common with a document-imaging technician than with the letter-sorting mail boy of 1950. AI-assisted optical character recognition now reads sender, recipient, and document type automatically, reducing the manual classification labor that once fell entirely on the clerk. What remains is the physical handling: receiving parcels, operating high-speed inserters for outgoing bulk runs, certifying and tracking regulatory mail, and managing the mailroom as a logistics node rather than simply a paper-sorting station.
